Coordination Communication Guide
This is a written guide to help understand the new email communication from the coordination management system.
Shift Offer (Singular Shift Offer)
When a coordinator is sent a shift offer they will receive an email notification providing them details of the shift and a series of options for each opportunity sent.
This is an example of an email that will be sent upon a single shift opportunity being sent to a coordinator.
In this image we can see that the coordination team have sent out an offer by email to a coordinator resource, seeking for the coordinator to respond with a declaration of interest for the shift which is still unallocated.
The coordinator is required to review the shift offer and respond with either option interested or not interested.
The responses allow the coordination team to review all the declaration of interests in line with our policies and procedures for shift allocations.
These emails are an automated service based on the coordination teams actions within the system. Please do not reply in text to these emails unless there is an issue with the shift details or buttons that we need to be made aware of.
Upon selecting an response option a web browser will open confirming the option selected. Please close the browser once the response has loaded.
Please only submit one single response to the shift offer. Should you wish to change your response, please select the new option, of which we will consider your last response as the final declaration.
Shift Opportunities(Multiple Shifts Offered)

Shift Provisional Assignment
Below is an example of an provisional shift assignment email. Should you be provisionally assigned for a shift this email will be automatically sent as confirmation.
At this point it is imperative that you select Accept Shift / Decline Shift.
A reference will also be given so that should you need to be in contact with the team the reference for the shift can be provided and a faster response time will be made should you need to call.

Shift Assignment
After being assigned to a shift you will get an email such as the below. This email is intended to give some information for your reference about the shift. Including shift date / time and location. A reference will also be given so that should you need to be in contact with the team the reference for the shift can be provided and a faster response time will be made.
Shift Unassignment
Below is an example of an Un-Assignment email. Should you be unassigned from a shift this email will be automatically sent as confirmation. please note to check the shift information in case of human error being the reason this is sent.
